We quantify your specific needs and distribute our proprietary, Military-specific, Request for Information (RFI) to a network of potential suppliers. The goal is to provide you with multiple options consisting of various property-types, service-levels, amenities, and locations in your area of operations.

Due to the nature of your organization, you can't sign a binding Contract. We understand that. And, we make sure potential suppliers understand that as well. Therefore, a prerequisite to responding to our RFI is no Group Cancellation Penalties, Attrition Clauses, or Early Departure Fees, in addition to rates not exceeding the Federal Government Per Diem for the location.

Many times, multiple suppliers are eager to host your group. Our RFI includes opportunities for them to distinguish themselves by including no-cost "Additional Considerations" such as providing Free Breakfast, Suite Upgrades for DV's, Welcome or Farewell Receptions, etc., in their offering.

The keys to expediting the check-in and check-out process for groups at a hotel are communication and preparation. We assure this by providing you our hotel-centric Rooming List Template with detailed instructions and providing the hotel our comprehensive Group Résumé (Overview) prior to arrival which requires Pre-Registration/Pre-Keying of rooms and Express Check-Out, along with specific group arrival and departure information.

We're familiar with the Defense Travel System (DTS) and understand the intricacies involved in filing a Military Travel Voucher through it. Therefore, we educate the hotelier on what constitutes an acceptable folio for reimbursement. This includes a split-billing requirement for multiple-occupancy rooms and providing an IRS-recognized individual Tax Exempt Form for members to submit to the hotel at check-in.

OPSEC is serious business. That's why we provide our hotel partners with USAF Eagle-Eyes program information and require that Management brief their Department Heads and Staff on it. We also require that your group's presence at the hotel remain confidential, your group be simply referred to as "DoD" (Department of Defense) in all hotel systems, and do not disclose member ranks to the lodging establishment.
