Due to the nature of your organization, you can't sign a binding Contract. We understand that. And, we make sure potential suppliers understand that as well. Therefore, a prerequisite to responding to our RFI is no Group Cancellation Penalties, Attrition Clauses, Early Departure Fees, or Minimum-Stay Requirements, in addition to Best Available Rates not to exceed the GSA Federal Government Per Diem for the Location, Single or Double Occupancy.

Many times, multiple suppliers are eager to host your group. Our RFI includes opportunities for them to distinguish themselves by including no-cost "Additional Considerations" such as Free Breakfast, Free Parking, Suite Upgrades for DV's, Waived Hotel/Resort Fees, Food & Beverage Discounts, or Complimentary Receptions in their offering.

The keys to expediting the check-in and check-out process for groups at a hotel are communication and preparation. We assure this by providing you our hotel-centric Rooming List Template with detailed instructions and providing the hotel our comprehensive Group Résumé (Overview) prior to arrival which requires Pre-Registration/Pre-Keying of rooms and Express Check-Out, along with specific group arrival and departure information.

We're familiar with the Defense Travel System (DTS) and understand the intricacies involved in filing a Military Travel Voucher through it. Therefore, we educate the hotelier on what constitutes an acceptable folio for reimbursement. This includes a split-billing requirement for multiple occupancy rooms and providing an IRS recognized individual Tax-Exempt Form for members to submit to the hotel at check-in along with their GTCC.

OPSEC is serious business. That's why we provide our hotel partners with USAF Eagle-Eyes program information and require that Hotel Management brief their Department Heads and Staff on it. We also require that your group's presence at the hotel remain confidential and your group be simply referred to as "DoW" (Department of War) in all hotel systems. We do not disclose member ranks to the lodging establishment.
